Tracking all properties and contracts using paper forms and excel sheets

Despite having close to 50 properties and 500 tenants under their umbrella, Prestige Properties was still relying on the age old way of managing their business with excel sheets and documents. The traditional method failed to meet their business’s growing needs.

Prestige Properties team was missing out expiring contracts and pending maintenance works due to large volume of work. They also faced difficulty in ensuring that the maintenance work was done dutifully and there was no way to know the client feedback on the maintenance work done.

Logging new complaints and tracking the status of existing ones became the biggest headache for the help desk team. Creating quotation, payment and other business reports consumed lot of hours.

Prestige needed a solution capable of coordinating the maintenance and rental of the properties while ensuring smooth transactions with subcontractors and tenants. The Business was badly in need of an internal management system to automate the repetitive tasks they did on a daily basis. 

We build them a complete end to end Property Management System (PMS) in Filemaker. This system allowed them to manage properties under multiple ownership, collect payments on time, manage contracts and keep a complete tracks of their maintenance visits.

The PMS consisted of a Property module exclusively for tracking and managing everything related to the properties in addition to having separate modules for, Contacts, HRM, Helpdesk/Maintenance and Reports. With everything integrated in one complete system and accessible with a single login, Prestige PMS increased staff productivity and customer satisfaction.

The biggest advantage of the system was that it gave them complete transparency of all their customer data, the tests they performed,

their lab reports, invoices, and their daily sales all in one centralized location on the cloud accessible from any location.
